Customized Microsoft Dynamics GP Training

Wednesday, June 30th, 2010

“Personally, I am always ready to learn, although I do not always like being taught.”  Winston Churchill

I found this quote intriguing.  At first it made me chuckle, but after reading it a few times I found a lot of truth in it.  Many times we are willing to learn, but aren’t always willing to take the time to learn.  Or perhaps find the teaching style we desire is not readily available.    Proper training is crucial for success.  You made an investment in your accounting and business software when you purchased Microsoft Dynamics GP and in order to get the most out of it you need to know how to use it!

We at Gilchrist Scott have been providing Microsoft Dynamics GP training for more than 15 years.  We don’t follow the boiler-plate, scripted training you might find elsewhere.  Instead we truly believe that each customer’s needs are different and that means training should be tailored to suit your needs and is specific to what you do.  We take a very hands-on approach to learn about your business and your internal accounting and business processes.  This enables us to customize our training to deliver the most efficient and beneficial use of your application.

We not only provide training during the initial implementation, we also provide update or refresher training sessions for new versions or functionality within Dynamics GP as well as training for new hires or new responsiblities.  We offer individual, group, onsite, and remote training.  We also offer process documentation for your business.

If you’d like to learn more about Gilchrist Scott’s training offerings, give us a call at 207.761.2133 or email us at support@gilchristscott.com .

What’s New in Microsoft Dynamics GP 2010 - Financial Enhancements

Tuesday, May 4th, 2010

With the release of Dynamics GP 2010 a few long-awaited features arrive.  It’s obvious that Microsoft took the time to listen to customers’ requests for features with their latest GP version.  I’ve noted a few of my favorite Financial enhancement below:

Exclude inactive records from lookup menus!

No more searching through your inactive customers, vendors, inventory items, and GL accounts!

Clear recurring GL batch amounts!

You can now clear the distribution amounts for all transactions on recurring batches after you post a batch.

Combine multiple budgets into a single master budget!

Create separate departmental budgets and easily combine into one.

Enter negative Cash Receipts in Accounts Receivable!

You can enter a negative cash receipt for the purpose of decreasing a deposit.

Select multiple ranges when building a check batch!

Have you planned for your upgrade to Microsoft Dynamics GP 2010 yet to ensure you benefit from all of these enhancements?

Microsoft Dynamics GP keeps up with $17.6 billion Jobs Bill

Monday, April 5th, 2010

If you are thinking of hiring; now is the time.  There are two new tax benefits available to employers hiring workers who were previously unemployed or only working part time.  This is part of the new $17.6 billion Job Bill, or officially known as the Hiring Incentives to Restore Employment (HIRE) Act which was signed by the President in mid-March.

What this means for you:

·         Tax Benefit 1:  For every “Qualified” employee (defined as Unemployed for the previous 60 days or worked less than 40 hours in the previous 60 days) Employers will not have to pay FICA tax on these employees from 2/3/10 – 12/31/10.

·         Tax Benefit 2:  For each worker retained for at least a year, businesses may claim an additional general business tax credit, up to $1,000 per worker, when they file their 2011 income tax returns

In Dynamics GP Payroll, it will work similar to the following (details to be worked out):

1.    A “Qualified” employee is someone that has been unemployed for the previous 60 days or worked less than 40 hours per week in the previous 60 days.  These employees will be flagged in Employee Maintenance in a new field.

2.    A new 941 report will have at least 2 new fields:  1. Number of employees in the date range that are qualified, and FICA amount the employer can reduce.

3.    Before the Q2 941 report is run, the Dynamics GP code change will need to be made and the employees flagged.

Reduce keystrokes by using the Macro functionality within Dynamics GP

Tuesday, March 2nd, 2010

You can reduce the number of keystrokes made during an entry by using the macro functionality within Dynamics GP.

A macro is a recording of each keystroke and click you make during a process that can later be played. During the play of the macro, each keystroke is recreated just as it was recorded.

Below I’ve outlined the steps for recording a Bank Transfer macro. Many companies manually enter several bank transfers in their daily process. The macro will record the clicks and keystrokes up to a certain point, and will then allow the user to enter any additional information prior to posting.

To begin go to Microsoft Dynamics GP>Tools>Macro>Record

macro

Once you’ve selected ‘Record’, you will be prompted to name the macro and set the location. You may find it helpful to have a ‘Macro’ folder on your server available to GP users. The file extension should be .mac.

The next step is to go through the process of entering your Bank Transfer. As the date will change and the amounts may change, you will want to stop just short of clicking on the ‘Post’ button as shown below:

bank-transfer3

Stop the macro by going to Microsoft Dynamics GP>Tools>Macro>Stop Record:

To play the macro go to Microsoft Dynamics GP>Tools>Macro>Play…then select the macro from the saved file location. As another time-saver the macro can be saved as a shortcut or Quicklink on your home page.

Collaboration is Power - New England Microsoft Dynamics GP User Group 2/23/10!

Monday, February 22nd, 2010

Someone once described TEAM as Together Everyone Achieves More.

This is a concept that will be tested and, most likely embraced, by the group of professionals coming together for the first ever NE Dynamics GP User Group being held at ecomaine on 2/23. In this time of cost cutting, do-more-with-less, everyone should consider collaboration as a way to learn, grow, and create efficiencies that traditionally were accomplished through expensive training programs and consulting engagements.

Great minds are coming together for the Dynamics GP User Group to talk about the new Microsoft Dynamics GP 2010 (Dynamics GP V11), Tips and Tricks, Roundtable discussion, and to create an agenda for future meetings that will result in achievements not found in traditional learning. Welcome to the new world of collaboration where we connect and work with others and benefit from the team approach!
