Ghosts, goblins, and budgets!

Monday, October 24th, 2011

It’s that scary time of year again for ghosts, goblins, and budgets.  Gives me chills just thinking about it.

But it doesn’t have to be too scary.  I’ve been working with several companies on their budgets and have found some things that you may want to keep in mind when importing your budgets.

1)    What version of Microsoft Office are you using?  We have seen where Microsoft Office 2010 has the ability to hide data in cells and could possibly be masking data.  Sometimes you may not know that data is hiding until you export to a text file.  This is not something that happens all the time, but if you find that you have issues importing it could be hidden data.

2)    Naming of Fiscal Periods: Typically you would go to Cards->Financial->Budgets and follow the steps in the wizard to create your Budget Template in an Excel spreadsheet.  This gives you the default format that Dynamics GP is expecting when you are ready to import your new budget figures.

If you‘ve made changes to the Period Name by going to Microsoft Dynamics GP -> Tools -> Setup-> Company -> Fiscal Periods, you will want to make those same changes to your exported spreadsheet columns.  The export will have the original Period Names for each period, not the changes that you made, and the import will fail because it can’t reconcile the changes for the import.

The error you receive will mention incorrect number of fiscal periods, but the real issue is that you renamed the period descriptions, and those have not exported with your Budget export to excel, and it cannot match up those columns when importing back into Dynamics GP.

Hopefully this saves you some time and effort, because we definitely know how hectic this time of year can be.

Microsoft Dynamics GP Payroll Tax Update Round 2 is now Available

Wednesday, January 26th, 2011

We are pleased to inform you that Microsoft has released the US English version 10 FICA changes round 2 tax update.  Versions 9.0 and GP 2010 to follow this week.

This is a 2 part install, the code (.exe file) and the tax table update.  This is all noted in the documentation as well, you will need both.Once you install the code update, the new Dynamics version is 10.0.1685

Also under Tools | Setup | System | Payroll Tax, the last tax update and code update should be 1/20/2011 once both are installed.

After further testing, there are no changes to Payroll integration to Payables, so no extra install.

PDK will still be releasing a chunk file shortly.  Integration manager and eConnect should work and will be included this field in the next service pack.  However, the 941 report is still not calculating properly for line 6e.  This is scheduled to be fixed in the next round due out in mid-February.

The 941 Prep report and the 941 Schedule B Prep report should all print correct numbers after the update (excluding line 63).  Those are two areas besides posting journals (and check history if you drag out new fields) that customers can verify numbers against.  The actual 941 form, due to it not being final, will be updated in a later code release.  Waiting for the final form at this point from IRS, still in draft format.

Microsoft Dynamics GP 2011 Payroll Tax Update FICA/SS Issue

Wednesday, January 5th, 2011

There is an important note in regard to the 2011 Federal Tax Changes.  The FICA/Social Security withholding table was updated to reflect the new 4.2% rate for employees.  However, this change caused the Employer portion to also calculate at 4.2% in error.  In an effort to release the tax update in a timely manner, Microsoft was unable to correct the Employer portion of the FICA/Social Security calculation prior to 1/1/2011.  This is scheduled to be corrected in a Tax Update scheduled for late January.  Mark your calendar to ensure you update your tax tables to capture this important fix.

Also, as another reminder, if you are still on GP version 9.0 this is the LAST update you will receive!  Be sure to schedule your upgrade ASAP to stay up to date with the most recent payroll tax code.

Give us a call today at 761.2133 to schedule your upgrade today!

The Importance of running File Maintenance in Microsoft Dynamics GP

Thursday, July 15th, 2010

I like to compare running Check Links to changing the oil in your car.  It is a bit of insurance that things will run smoothly in the future.  Your car may be operating just fine, but an oil change is necessary.  Without one you know there will be trouble down the road.

The same could be said about Check Links.  When you run Check Links it examines the GP tables, checking corresponding information in related GP tables, and fixes damaged data.  Many times Check Links is run to correct a specific error that a user is experiencing, however it should be run periodically as a part of your scheduled maintenance plan.  Contact your Microsoft Dynamics GP partner for scheduling recommendations.

Prior to running Check Links it is best to have a full back-up and have all users exit GP.

To run Check Links go to: Microsoft Dynamics GP>Maintenance>Check Linksnew-picture-15

Note that the series is selected from a drop down list first.  We recommend you run Check Links separately for each series as the process can be timely.  Also, it may be difficult to determine which series the error originated if all series are selected at once.

First select the series from the drop down list. A list of Logical Tables will populate in the left hand column.  Click on the ‘All’ button at the center of the screen.  This moves all of the tables into the ‘Selected Tables’ column at the right.  If you only need to run check links on one table, simply highlight the table on the left and click ‘Insert’.

Next, click ‘OK’. Select ‘Screen’ for the report destination as the report could be quite lengthy.  You will have the opportunity to print the report once it is printed to screen if you desire.

Many users opt to start Check Links just as they leave for the day, or during lunch to reduce end user interruption.

If you would like more information in regard to Dynamics GP Check Links give us a call at 207.761.2133 and ask for extension 302.
