Microsoft Dynamics GP 2011 Payroll Tax Update FICA/SS Issue

There is an important note in regard to the 2011 Federal Tax Changes.  The FICA/Social Security withholding table was updated to reflect the new 4.2% rate for employees.  However, this change caused the Employer portion to also calculate at 4.2% in error.  In an effort to release the tax update in a timely manner, Microsoft was unable to correct the Employer portion of the FICA/Social Security calculation prior to 1/1/2011.  This is scheduled to be corrected in a Tax Update scheduled for late January.  Mark your calendar to ensure you update your tax tables to capture this important fix.

Also, as another reminder, if you are still on GP version 9.0 this is the LAST update you will receive!  Be sure to schedule your upgrade ASAP to stay up to date with the most recent payroll tax code.

Microsoft Dynamics GP Payroll Year End Update Tips

In performing the 2010 Payroll Year-End Update we came across some information you may find helpful:

 

1)    2010 Tax Update

a.    The latest 2010 Tax Update is November, not August as the manual states.

b.    It must be installed using the manual process.  If the automatic process is used, it will pull the most recent tax update which is 2011.

c.    Installing the latest 2010 tax update is optional.  The tax updates should be reviewed to determine if they apply to your business or not.

2)    Reports and Forms must be updated during the year-end update.  This is not mentioned in the documentation.

3)    If you have trouble getting a workstation or two updated it is OK to fix at a later time when other users are NOT in GP.  In the meantime, other users can launch and use GP.

4)    Verify the year-end update was successful in SQL.  In the Dynamics database to to the table ‘Dynamics_upgrade’, the field DB Status should be equal to zero for all rows.

The Importance of running File Maintenance in Microsoft Dynamics GP

I like to compare running Check Links to changing the oil in your car.  It is a bit of insurance that things will run smoothly in the future.  Your car may be operating just fine, but an oil change is necessary.  Without one you know there will be trouble down the road.

The same could be said about Check Links.  When you run Check Links it examines the GP tables, checking corresponding information in related GP tables, and fixes damaged data.  Many times Check Links is run to correct a specific error that a user is experiencing, however it should be run periodically as a part of your scheduled maintenance plan.  Contact your Microsoft Dynamics GP partner for scheduling recommendations.

Prior to running Check Links it is best to have a full back-up and have all users exit GP.

To run Check Links go to: Microsoft Dynamics GP>Maintenance>Check Linksnew-picture-15

Note that the series is selected from a drop down list first.  We recommend you run Check Links separately for each series as the process can be timely.  Also, it may be difficult to determine which series the error originated if all series are selected at once.

First select the series from the drop down list. A list of Logical Tables will populate in the left hand column.  Click on the ‘All’ button at the center of the screen.  This moves all of the tables into the ‘Selected Tables’ column at the right.  If you only need to run check links on one table, simply highlight the table on the left and click ‘Insert’.

Next, click ‘OK’. Select ‘Screen’ for the report destination as the report could be quite lengthy.  You will have the opportunity to print the report once it is printed to screen if you desire.

Many users opt to start Check Links just as they leave for the day, or during lunch to reduce end user interruption.

Management Reporter for Microsoft Dynamics ERP is now available for Microsoft Dynamics GP 2010.  I like to think of Management Reporter as the ‘New and Improved FRx’!  A lot of the same functionality found in FRx exists within Management Reporter as well as a lot of additional functionality.  Some of the highlights include:
