What to expect in the new release of Microsoft Dynamics Management Reporter 2012

Management Reporter 2012 (MR) for Microsoft Dynamics ERP is a powerful financial reporting solution paired with Microsoft Dynamics GP.  In the past the go-to solution was FRx.  Over time FRx will be phasing out as the developers continue to enhance MR.  If you have used FRx, MR will feel very familiar.  MR uses similar methodology of rows, columns, and trees.  With the latest release there are some exciting new features!

Below are just a few of the many enhancements to take advantage of with this new release:

Design

  • Quickly identify accounts/dimensions that have been omitted from report building blocks.
  • Easily save and reuse dimension combinations when designing reports

 

Collaboration

  • Schedule reports to generate automatically on a periodic basis

Free Tools for Dynamics GP!

FREE tools to change and/or merge Dynamics GP GL Accounts, Customers, Vendors, Inventory Items – and MORE!

Have you heard that Microsoft is now offering The Professional Services Tools Library (PSTL) at no charge?  The PSTL contains several utilities that change, merge, update, check, and report on a variety of records that businesses need as they grow and change.  Historically these powerful tools have been for purchase only, and require registration keys.  Not any more….. the utilities needed to change and control critical data and processes are FREE and get installed with Dynamics GP automatically. 

 

In order to use the new FREE PSTL for Microsoft Dynamics GP, you will need to download the most current version and install.  You will need to be logged in as ‘sa”.  When you open the Professional Services Tools Library window from your shortcut, you can click on Register and the correct registration key will default in!

The Tools are organized by Series, just like all other Dynamics GP add-ons, and there are tools for each: 

1. Finance Series Tools
2. Purchase Series Tools
3. Sales Series Tools
4. Payroll Series Tools
5. Inventory Tools
6. System Tools

 

In addition to some of the most popular tools that change/merge records, there are tools to:

·         Track changes to Employee records (remember… even if you don’t use Dynamics GP Payroll, you can still use the Employee Master tables to track employee data)

·         Mass Apply posted RM Credit Documents to posted RM Debit Documents by selected ranges.

·         Allows Drop Ship Sales Orders to be transferred to Invoice prior to invoicing the Purchase Order.

·         Start Microsoft Dynamics GP and run one or more integrations or integration groups and then have Dynamics GP exit when integrations are complete.

How to “fix” a Bank Deposit that Can’t be Voided

What to do when a Bank Deposit has been reconciled, but includes incorrectly applied Cash Receipts in Dynamics GP

A GP User recently contacted me for support regarding a Bank Deposit that needed to be voided.  The problem was that a Cash Receipt had been recorded for one customer, but actually included payments for multiple customers.  (Note: This was not a true Parent:Child Customer relationship.) 

Unfortunately, this Bank Deposit had been ‘cleared’ via Bank Reconciliation already, so there was no way to void it.  Sorry - GP doesn’t allow that.

So, what to do?  Her bank balance was correct.  Her Accounts Receivable GL Balance was correct, but the individual customer balances were wrong. 

Here is a detailed example of the problem and the work-around we used to fix it:

Problem:  A $6,000 Bank Deposit on 1/16/2012 included the following Cash Receipts:

  • $1,000 from customer ABC01
  • $2,000 from customer DEF01
  • $3,000 from customer GHI01

The total of $6,000 was correct, and the Bank Reconciliation process went smooth as can be.

The Cash Receipt from customer GHI01 was actually supposed to be split between two customers - $2,000 for GHI01 and $1,000 for JKL01.

The steps we took to correct are as follows:

  • 1) Enter a Debit Memo for customer GHI01 for the amount that was incorrectly applied. In this example, the $1,000 intended for JKL01 is the amount used in the Debit Memo. This increases the amount GHI01 owes back to the correct amount. The GL Distributions are: DR Accounts Receivable, CR Sales
  • 2) Enter a Credit Memo for customer JKL01 for the amount that was supposed to be applied to their account. Again, this is the $1,000 that inadvertently went to GHI01. This decreases the amount JKL01 owes, down to the correct amount. The GL Distributions are: DR Sales, CR Accounts Receivable.
  • 3) The net GL Distributions are zeroed out. We debited then credited the A/R account for $1,000, and we credited then debited the Sales account for $1,000. Net effect: $0.00. The Receivables Bath Entry window will show 2 transactions with a Batch Total of $2,000 - the absolute value of the batch.

This process corrected the customer balances, did not touch the Checkbook, and had no effect on the GL balances.

What to do to correct an overpayment to an employee using Dynamics GP Payroll module.

I found excellent instructions written by David Hobbs of Evarsys,Inc..  Processing payroll can be very stressful.  Add to it that you mistakenly overpay an employee who has direct deposit and the file has already been sent to the bank!  Below is a blog I found to be very helpful in processing the correction which ensures that the employee’s wages are correct as well as FICA, Federal, and State taxes.  It also corrects the company’s tax liabilities!

1.How do you correct the employees YTD gross, fica, fed, state, etc?  How do you correct the matching company taxes?

2.If you simply do a payroll tax deduction for the gross amount of the overpayment  in the next pay run you are penalizing the employee and the company.  You are taking the gross amount from him, and he still pays the fed, state, fics, medicare, etc on amount.  The company is still out the matching taxes.

Solution

1) For the amount of the over payment, create a payroll transaction batch and key in just the employee and the pay code for the gross amount of the overpayment.

2) Run a payroll build for just that employee, with no deductions and benefits marked. Mark only the batch you just created.  In the ranges for the build select just the employee in question.

3) Run Calculate Check and print the payroll precheck report for the employee.  You will use this report in a later step.

4) Remove the build you just did.

5) Go to Transactions – Payroll – Manual Check

a) You will enter a negative manual check that mirrors the precheck report.

b) Key in all amounts as negative.

c) Do the gross pay first, make sure to key negative in the gross and all fields.

d) Do FICA SS, make sure to key the employee amount negative, then in the EFIC key the matching company amount negative at gross times 6.2%.  Also, key the taxable wages amount as negative. This is necessary since the employee rate is 4.2% and the company matching rate is 6.2%

e) Repeat for FICA Med.  These amounts will be the same for both the employee and the company.

f) Repeat for State Tax.

g) Repeat for Fed Tax.

h) When you are done the front screen should mirror the precheck report exactly except with negatives.  Negative gross and net should match exactly.

i) Post.

j) After the result of this you have fixed the employee and company liability.  You will notice the Check Register will show all the taxes and company liability as negative.

6) Create a new payroll deduction code for the employee.  It should be sheltered from all taxes as you want this deduction to come out first before any taxes are calculated on it.  Enter the single amount of the deduction to be taken back from the employee for the overpayment.

7) In the new pay run make sure to include this new deduction.

8 ) As a result of this the gross amount of the overpayment will be deducted back from the employee, and no FICA or Fed is calculated on it.

9) In the payroll posting accounts for the deduction make sure to set the gl account you want it to go to if necessary.

He has outlined all the steps except for reversing the impact of the negative check.  GP creates a negative check in bank reconciliation module and thus creates an entry to the payroll cash account.
